This role requires strong administrative and communication skills, a good understanding of compliance requirements, and the ability to manage multiple applications and outstanding requirements while maintaining confidentiality and accuracy.

Key Responsibilities:

Client Onboarding & KYC/FICA: Manage the onboarding of new clients from start to finish, ensuring all required documentation is received, accurate, complete, and compliant with KYC/FICA requirements.

Document Verification: Review client documentation for missing, incomplete, or conflicting information and follow up on outstanding requirements to ensure client files are ready for processing.

Banking & Account Administration: Coordinate the opening of client bank accounts, including preparing and submitting account-opening documentation and following up with banks on outstanding requirements and applications.

Section 54 & Private Landlord Accounts: Manage and assist with Section 54(1), Section 54(2), and Private Landlord account processes, ensuring that all required documentation and administrative steps are completed correctly.

Client & Stakeholder Management: Act as a key point of contact for clients during the onboarding process, clearly explaining compliance and banking requirements and managing expectations around documentation and timelines.

Bank & Internal Coordination: Liaise with banks, clients, and internal teams to coordinate applications, resolve queries, arrange meetings, and ensure outstanding requirements are addressed promptly.

Compliance Administration: Ensure client documentation meets relevant compliance and banking requirements. Identify potential compliance concerns or discrepancies and escalate them to the appropriate team members when necessary.

Application Tracking & Follow-Up: Maintain accurate onboarding trackers and reports, monitor applications and outstanding documentation, and proactively follow up with relevant stakeholders to keep processes moving.

Reporting & Record Keeping: Keep accurate and organised records of client communications, documentation, applications, and compliance requirements, ensuring information is readily available when required.

Confidentiality & Data Management: Handle sensitive client and financial information responsibly and maintain strict confidentiality at all times.

Process Improvement: Identify opportunities to improve onboarding, banking, compliance, and administrative processes to increase efficiency and improve the client experience.

  • 2+ years of experience in compliance administration, client onboarding, banking administration, property administration, or a similar administrative role.
  • Working knowledge of KYC and FICA requirements and client due diligence processes.
  • Experience reviewing and verifying client documentation.
  • Experience dealing with banks and coordinating account-opening processes.
  • Strong administrative and organisational skills, with excellent attention to detail.

  • Strong written and verbal communication skills.
  • Professional and confident when communicating with clients, banks, and internal stakeholders.

  • Ability to identify missing, inconsistent, or potentially problematic information and escalate appropriately.
  • High level of accuracy when working with confidential client and financial information.
  • Good record-keeping and reporting skills.
  • Strong computer literacy and confidence working with administrative systems, trackers, and documentation.
  • Ability to work independently while also collaborating effectively within a team.
  • Previous experience in the property, banking, financial services, or compliance environment would be advantageous.
